Carbonite - a secure online backup for everything on your PC. Costs $50/year, or less than $5/month. After you've crashed your system once and lost critical files you didn't back up, you'll realize you can't live without it. Restores your desktop with a couple clicks to any machine you choose. It takes a little bit of time to backup your system the first time; you can work through it, but there is a slight performance drag. I'd get it going and then leave for lunch.

Basecamp - Online file storage. Works great when you are collaborating with several folks and have large files. Bills itself as a collaboration site, but it isn't really. Best if you just need to post files and write simple notes. Also shows you who has accessed what. Graduated pricing. I currently have 3 gigs I pay $50 a month for.

YouSendIt - Great if you just need to send large files on the fly and can't be bothered to use Basecamp. I think it's free. You get an e-mail and go to a remote site to pick up your files.

eFax - I get all my contracts and POs faxed via e-fax, so I have electronic versions of them. Much better than a physical fax, because you can pick up documents electronically. You have to pay a monthly fee to PDF. I think it's about $25. I just save the efax docs, knowing that if I need a paper trail I can sign up for the PDFs anytime and convert them.


Remote Technology Support - My IT guy fixes my computer remotely. I click on his website and he takes over my computer. Awesome.

I manage a team of designers, web hosting and code engineers on basecamp. They now have writeboards and Campfire..real time online conferencing. I pay the 150.00 a month worth every penny since every person in our comapny is in a different city!

We live by Basecamp it has been a great tool for us to keep everyone in the loop.

Without question the hottest is D.E.X.S.A.R. (digital exchange, storage and retrieval system) which lets me manage my entire business digital estate including electronic copies of bank statements, deeds, warranties, wills, trusts,medical records, and tax records. Carbonite sounds like something I need to check into...I have stuff backed up, but my labels change from time to time and I don't always remember to back them up...and I need to keep my flyers,etc etc...

Love my efax...stumbled on that a couple of months ago...beats the hard wire fax machine hands down...and for the money it saves me, its worth it!

Where did you find your remote techie???

Adobe has a service you can sign up for 12.95 a amonth thata lets you create Adobe docs online....way less expensive than buying the application and upgrades.

RingCentral is amazing! Its only $9.99/mo and includes auto-attendant, music on hold extensions, voicemail, fax and uses existing phones. Helps a small business look BIG!

LongJump - This website has 14 ready to use applications with built in security, view management, reporting, etc. covering IT management, HR, sales management, email campaign management and more. If you want to customized any of these you can - its a snap. If you want to get your own database on the web, that's easy to do too. If basic collaboration is all you need, Officespace lets you share files, post pictures, manage a company directory, and track company customer accounts and contacts. Really easy to use too...I recommend. All apps have a 30 day trial. Officespace is free. If you decide to subscribe, you get access to all apps for $20/user per month. A good value.

LogMeIn - Definitely a must for any small business. No matter where you are at, if you have an internet connection, you can reach your critical information back at the office.

myFax.com - $9.95 a month for electronic faxes that converts everything to PDF. So you can email, fax, or do whatever you need to with your files. Then, if you need a PDF of something, you don't have to pay the $12.95/mo to Adobe, just fax yourself.

Your Own Website - This is a tool that you must have...In this age, you are hurting you business without one. Consider having your business software at home, at your Uncle's in California, or on the beach with your laptop. Web applications make your business everywhere, available to you 24/7, even on your smartphone :)
